POSITION:  Site Coordinator

HIRE DATES:  August 15 -November 15, 2012

REPORTS TO:  Conference Director, Office Manager

WORKS DIRECTLY WITH:  Development and Conference Directors

COMPENSATION: $500 stipend

 

MISSION/ENVIRONMENT:

 

Austin Film Festival is dedicated to championing the work of filmmakers & artists as well as providing unique cultural events and services, enhancing public awareness and participation encouraging long lasting community partnerships.  While working for this critically recognized organization, applicants are expected to be able to work efficiently and professionally in a fast paced, team-oriented production environment.  In such an environment, the ability to work well under pressure, excellent communication skills and intense organizational skills are a must.

 

OVERALL JOB DESCRIPTION:  Organizing and following through with logistical needs regarding equipment and other rentals at the venues throughout the festival as well as manage a team of volunteers to set up and break down at various locations for panels and events

 

DUTIES & RESONSIBILITIES: The responsibilities of the Site Coordinator include but are not limited to:

  • Acquiring the necessary equipment and rental items prior to the festival including banners, signs, director’s chairs, pipe and drape
  • Making sure all sponsorship banners are properly on display
  • Familiarize one’s self with the set up and lay out of the Driskill & Stephen F. Austin hotels, as well as St. David’s Church.  This includes setting up a weekly meeting with our Executive & Conference Directors
  • Securing the proper number of director’s chairs for panels and Q&A’s at various festival locations
  • Coordinating with venues for proper timing of set up and breakdown of equipment
  • Acting as point person for any signage that needs to be created
  • Works with Marketing Director and Development Director for details on acquiring and distributing correct signage at all venues
  • Managing a team of volunteers to set up and break down at the site
  • Creating Weekly Status Reports
  • Adhering to and completing a predetermined timeline
  • Providing exemplary customer service
  • Providing wrap up and completion materials
  • Commitment to the AFF Mission Statement

 

QUALIFICATIONS:

  • MUST be available all day during October 18 – 25
  • Excellent problem solving skills & patience
  • Experience working with and communicating with a team
  • Excellent interpersonal skills
  • Strong analytical and problem-solving skills
  • Extensive customer service experience
  • Ability to prioritize and delegate in high stress situations
  • Must be able to lift at least 25 lbs.
